ERP vs CRM: What's the Difference and Which Does Your Business Need?
"Do we need an ERP or a CRM?" is one of the most common questions we get from growing businesses — and the confusion is understandable, since both promise to "organize your business."
The one-sentence version
CRM manages your relationships with customers. ERP manages your internal operations. A CRM tracks leads, deals, and customer communication. An ERP tracks inventory, production, purchasing, accounting, and HR.
CRM: built around the sales and customer journey
A CRM (Customer Relationship Management system) exists to answer questions like:
- Where is this lead in our sales pipeline?
- Who followed up with this customer last, and what did they say?
- Which marketing channel is actually producing paying customers?
- What's our conversion rate from enquiry to closed deal?
If your bottleneck is leads falling through the cracks or no visibility into your sales pipeline, you need a CRM.
ERP: built around internal operations
An ERP (Enterprise Resource Planning system) exists to answer questions like:
- How much stock do we actually have across all our warehouses?
- What's our real production cost per unit this month?
- Are we going to run out of raw materials before the next purchase order arrives?
- What's our actual profit margin once payroll and overhead are accounted for?
If your bottleneck is spreadsheets that don't talk to each other or not knowing your real numbers until month-end, you need an ERP.
Can one system do both?
Some platforms bundle CRM and ERP modules together, and for smaller businesses this can make sense — one login, one database, no integration headache. The tradeoff is that bundled systems are often mediocre at both jobs rather than excellent at one. As you scale, most businesses end up running a dedicated CRM and ERP that talk to each other via integration, because the sales team's needs (fast, mobile, simple) and the operations team's needs (detailed, structured, audit-ready) genuinely pull in different directions.
Which should you build first?
A rough rule of thumb from projects we've delivered:
- Service businesses, agencies, B2B sales teams → CRM first. Your growth bottleneck is almost always pipeline visibility and follow-up discipline.
- Manufacturers, distributors, retailers with physical inventory → ERP first. Your growth bottleneck is almost always not knowing your real stock and cost numbers.
- Businesses doing both at meaningful volume → build the one causing more pain today, architect it so the second system can integrate later without a rebuild.
Custom-built CRM and ERP systems cost more upfront than off-the-shelf SaaS tools, but for businesses past a certain size, they pay for themselves by fitting your actual process instead of forcing your team to work around generic software.
